How the payment flow works from customer to confirmed paid.

Tracking payment

Once an invoice is sent, QuoteCore+ tracks the full payment journey.

Customer side

On the public invoice page the customer can:

  • View all line items and totals.
  • Copy the payment reference (QCP-INV-YYYY-NNNNNN) for bank transfers.
  • Click Pay Online if you've set a payment link in your payment details.
  • Click Payment Sent once they've paid — this opens a short form where they can leave a note.
  • Click Dispute Invoice if they have a problem.

What you see

When the customer acts, you get an in-app notification:

Confirming payment

When the status is Payment Reported, a green Confirm Payment button appears in the invoice editor. Click it, confirm in the dialog, and the invoice moves to Paid. That's the final state — the invoice is closed.

Disputes

When a dispute is raised the invoice moves to Disputed and you get an alert with the customer's reason. Contact the customer to resolve, then manually update the status as needed.

Cancelling an invoice

Click Cancel Invoice in the editor top bar. You'll see a confirmation dialog first. Once cancelled:

  • The public invoice link stops working (customer sees "Invoice Not Found").
  • The invoice is removed from active totals.
  • Cancelled invoices can't be re-sent.

Payment reference

Every invoice has a unique payment reference (e.g. QCP-INV-2026-000001). Ask customers to include this in their bank transfer description. It makes matching incoming payments to invoices instant.
